Depending on your relationship with us, we may collect: your name, your company name, your address, your phone number, your email address, your billing and payment information, the content of your requests and our communications, as well as the information necessary to fulfill an assignment.

We do not sell your information, nor do we use it for targeted advertising. If you leave us a testimonial, we may publish it on our website, social media, and promotional materials. We may showcase projects completed by Alexem Studio for portfolio purposes, subject to the agreements entered into with each client.
Our video conference and phone meetings are recorded and transcribed for note-taking and case tracking purposes, using transcription tools whose servers are located outside of Quebec. The recording tool is visible during the meeting. If you prefer not to be recorded, please let us know at the beginning of the meeting, and we will stop the recording. Recordings are deleted when they are no longer needed.
We use the AI assistant Claude (Anthropic) through an organizational account—whose data is not used to train models—for writing, analysis, coding, and project tracking. All results are verified by a person before being used or delivered. No decisions regarding you are made entirely by automated means. If you prefer that artificial intelligence not be used in your project, please let us know in writing: we will respect your choice.
The websites we host for our clients, as well as our management platform, are hosted on a server located in Quebec (OVH, Beauharnois).
For our day-to-day operations, we use cloud-based tools whose servers are located outside of Quebec, primarily in the United States and the European Union: Google Workspace (email and documents), ClickUp (project management), Slack (communications), QuickBooks (billing), Mailchimp (newsletter), Figma and Adobe (design), Claude (artificial intelligence), Gemini and Notta (meeting transcription). Before entrusting personal information to these tools, we assessed privacy-related factors, as required by Bill 25, and we rely on these providers’ contractual security and confidentiality guarantees. Some members of our team may work from outside Quebec, under the same security conditions.
Health information and sensitive information are never processed using these tools without a specific written agreement with the client in question.

Every member of our team—whether an employee or a consultant—has signed a confidentiality agreement. Engagements involving sensitive information are subject to a separate confidentiality agreement specific to that engagement.
We protect your information using measures appropriate to its sensitivity: named accounts, two-factor authentication, encrypted connections, access limited to those who need it, backups, and access logging. In the event of a privacy incident that poses a risk of serious harm, we notify the Commission d’accès à l’information and the individuals concerned, and we maintain a record of such incidents.
Once these purposes have been fulfilled, we securely destroy the information or anonymize it.

The solidarity offer includes a 20% discount on all our regular rates, applicable to the creation of time banks, time plans and package projects for eligible customers.
Banked hours are a fixed volume of hours that you buy in advance and use at your own pace, according to your needs. Hour plans, on the other hand, allocate a number of hours over a set period (usually a month), with an advantageous rate and regular scheduling to ensure our availability. Both options offer flexibility and priority, but hourly plans allow for more continuous management of your projects.
Banks and time plans offer :
Yes, hour banks are valid for one year from the date of purchase. Make sure you use your hours within this period.
Time banks must be paid in advance of any project or work being carried out. This guarantees our availability and commitment to your projects.
No, we do not provide quotations for projects carried out within the framework of banks or time plans. Quotations are reserved for lump-sum projects and follow our standard rates.
Fixed-price projects include a fixed price and a pre-defined scope. They are suitable for one-off or one-time projects, with costs based on our standard tariff.
